Job Summary
We seek an Intake Specialist who is an organized and confident decision-maker, guiding gestational surrogates and egg donors through the intake/admissions process smoothly with support and excitement. Ultimately, helping the company grow and thrive by reaching target goals in screening and matching gestational surrogates and egg donors. An Intake Specialist works closely and swiftly with gestational surrogate and egg donor candidates to educate them regarding the process, collect and review applications, and interview candidates for acceptance into our program; to ultimately match with our hopeful Intended Parents.
Responsibilities
- Prompt reply to surrogate and egg donor applicants
- Review applicants to move forward in the qualifying process to determine eligibility
- Ensure that potential surrogates and egg donors have a positive intake and matching experience, and a full understanding of the process
- Request and save medical records, or work closely with the Medical Records Team to ensure documents are obtained
- Work diligently in obtaining necessary information and documents to intake candidates fully
- Provide a high level of customer service to ensure an efficient admission process, and matching is complete
- Practice within the highest ethics and standards, maintaining the confidentiality of each candidate
- Work closely with the Match Team (supporting Intended Parents) regarding match management to ensure profiles are reviewed and properly shared, meeting parties’ criteria
- Coordinate psychological screening appointments
- Ensure candidates are provided necessary intake materials including, but not limited to, identification cards, vaccination records/cards, benefits package documents, medical insurance cards, and policy booklet
- Build and develop relationships within the third-party community to promote our agency
- Perform other duties that support our organization as assigned
Required Qualifications

Job Summary
The Insurance and Benefits Support Coordinator plays a vital role in ensuring that all surrogates participating in FSC’s programs have the appropriate insurance coverage and receive the financial support they need throughout their journey. This role collaborates closely with insurance partners, medical providers, and internal teams to manage medical claims, facilitate reimbursements, and provide administrative support during the intake process. By maintaining thorough records and providing expert guidance, this position supports a seamless and stress-free experience for both surrogates and Case Coordinators.
Success Metrics
- All surrogates and egg donors have verified, adequate insurance coverage prior to medical procedures.
- Claims and reimbursement processes are completed efficiently and accurately.
- High levels of satisfaction reported by surrogates and internal staff regarding insurance and financial guidance.
- Timely resolution of outstanding or denied claims.
- Intake administrative tasks are completed promptly and accurately.
Core Responsibilities
Insurance Coordination
- Verify that all surrogates have adequate medical insurance coverage in place prior to starting their journey.
- Work directly with insurance partners (e.g., IFI, Art Risk) to secure, review, and document insurance policies tailored to each journey.
- Ensure ongoing policy accuracy and compliance.
Claims Management
- Guide surrogates and Case Coordinators through the medical claims process, ensuring proper documentation and timely filing.
- Act as liaison between insurance partners, medical providers, and surrogates to resolve any claim-related issues or denials.
- Maintain accurate, up-to-date records of claims activity, including follow-up on pending or denied items.
- Confirm that all post-delivery medical bills are resolved and paid in full.
Reimbursement Assistance
- Support Case Coordinators and surrogates in submitting out-of-pocket medical expenses for reimbursement.
- Ensure that all reimbursement or payment requests are submitted accurately and promptly.
- Troubleshoot any billing or payment issues to minimize delays and stress for surrogates.
Administrative Support
- Provide administrative assistance to the Surrogacy and Egg Donor Intake Program, supporting the intake process and initial surrogate onboarding as needed.
