Position Overview
We are currently seeking a dedicated Match Specialist to join our team. The ideal candidate is self-motivated, compassionate, resourceful, and diplomatic, with a strong ability to work in a fast-paced, deadline-driven environment. Experience in third-party reproduction or IVF—whether personal or professional—is preferred. This role requires occasional evening and weekend availability.
Responsibilities:
- Guide intended parents through the surrogacy matching process, ensuring a seamless and supportive experience.
- Collaborate closely with the Surrogate Intake Team to assess and onboard surrogate candidates.
- Facilitate and oversee match meetings between surrogates and intended parents.
- Uphold the highest ethical and confidentiality standards in accordance with applicable policies and regulations.
- Conduct thorough evaluations to identify the most suitable surrogates for intended parents.
- Maintain precise records and ensure clear, transparent communication between intended parents, surrogates, and the Case Management team following a match.
- Perform additional duties as assigned.

The Third-Party Match Coordinator is responsible for supporting newly matched egg donors, surrogates and intended parents, ensuring a smooth transition from match confirmation to the egg donor and surrogate’s medical clearance at the intended parent’s fertility center. This role requires excellent communication skills, attention to detail, and the ability to manage multiple cases simultaneously while providing exceptional support to all parties involved.
Key Responsibilities
- Case Management:

- Guide egg donors, surrogates and intended parents from the time of matching through the egg donor and surrogate’s medical clearance.
- Records Management:
-
- Share egg donor and surrogate medical records with the intended parents’ fertility center and ensure all necessary documentation is submitted promptly.
- Communication & Coordination:
-
- Act as a liaison between fertility centers, surrogates, egg donors, and intended parents to ensure all parties remain informed and aligned.

- Maintain regular contact with egg donors, surrogates and intended parents, providing updates, and addressing any questions or concerns.

- Coordinate with escrow management to facilitate financial aspects of the journey, ensuring timely disbursements.
- Scheduling & Documentation:

- Assist with scheduling medical appointments, tracking progress, and ensuring all required steps are completed for egg donor and surrogate medical clearance.

- Facilitate monitoring locations for egg donors and surrogates to complete necessary medical testing and evaluations.
- Travel Coordination:

- Arrange and manage surrogate travel, including ground transportation, airfare, and hotel accommodations for medical appointments.

- Ensure travel logistics align with clinic schedules and the egg donor and surrogate’s availability.
- Support & Advocacy:

- Provide emotional support and guidance to egg donors, surrogates and intended parents, ensuring they feel confident and informed throughout the process.

- Address any concerns or challenges that may arise and offer appropriate solutions.
- Compliance & Accuracy:

- Ensure all processes adhere to agency policies, industry best practices, and legal requirements.
Qualifications
- Experience in egg donation, surrogacy, third-party reproduction, fertility coordination, or a related field is preferred.
- Strong organizational skills with the ability to manage multiple cases and deadlines.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and empathy when working with intended parents and surrogates.
- Ability to work independently while collaborating effectively with a team.
- Proficiency in Microsoft Office, Google Suite, and CRM systems.
- Experience with travel coordination or logistics is a plus.
