Job Summary 

We seek an Intake Specialist who is an organized and confident decision-maker, guiding gestational surrogates and egg donors through the intake/admissions process smoothly with support and excitement. Ultimately, helping the company grow and thrive by reaching target goals in screening and matching gestational surrogates and egg donors. An Intake Specialist works closely and swiftly with gestational surrogate and egg donor candidates to educate them regarding the process, collect and review applications, and interview candidates for acceptance into our program; to ultimately match with our hopeful Intended Parents.   

Responsibilities 

  • Prompt reply to surrogate and egg donor applicants  
  • Review applicants to move forward in the qualifying process to determine eligibility  
  • Ensure that potential surrogates and egg donors have a positive intake and matching experience, and a full understanding of the process  
  • Request and save medical records, or work closely with the Medical Records Team to ensure documents are obtained  
  • Work diligently in obtaining necessary information and documents to intake candidates fully  
  • Provide a high level of customer service to ensure an efficient admission process, and matching is complete  
  • Practice within the highest ethics and standards, maintaining the confidentiality of each candidate  
  • Work closely with the Match Team (supporting Intended Parents) regarding match management to ensure profiles are reviewed and properly shared, meeting parties' criteria  
  • Coordinate psychological screening appointments     
  • Ensure candidates are provided necessary intake materials including, but not limited to, identification cards, vaccination records/cards, benefits package documents, medical insurance cards, and policy booklet  
  • Build and develop relationships within the third-party community to promote our agency  
  • Perform other duties that support our organization as assigned

Key Responsibilities 

  • Case Management:  
    • Guide egg donors, surrogates and intended parents from the time of matching through the egg donor and surrogate’s medical clearance. 
  • Records Management:  
    • Share egg donor and surrogate medical records with the intended parents’ fertility center and ensure all necessary documentation is submitted promptly. 
  • Communication & Coordination:  
    • Act as a liaison between fertility centers, surrogates, egg donors, and intended parents to ensure all parties remain informed and aligned. 
    • Maintain regular contact with egg donors, surrogates and intended parents, providing updates, and addressing any questions or concerns. 
    • Coordinate with escrow management to facilitate financial aspects of the journey, ensuring timely disbursements. 
  • Scheduling & Documentation: 
    • Assist with scheduling medical appointments, tracking progress, and ensuring all required steps are completed for egg donor and surrogate medical clearance. 
    • Facilitate monitoring locations for egg donors and surrogates to complete necessary medical testing and evaluations. 
  • Travel Coordination: 
    • Arrange and manage surrogate travel, including ground transportation, airfare, and hotel accommodations for medical appointments.
